Who we are

What we collect and why

  • Register interest form: your names, email address, phone number if you give it, where you would fly from, and anything you tell us. We use this to send you retreat details and to reply to you. Legal basis: your consent, which you can withdraw at any time.
  • Chat on this site: the messages you type, and any name or email you choose to give the chat. We use this to answer your questions and, if you give contact details, to follow up. Messages are processed by a third-party AI service to generate replies; they are not used to train that service's models. Legal basis: our legitimate interest in answering enquiries, and your consent where you give contact details.
  • Bookings: made and paid for through WeTravel, whose own privacy policy applies to the payment and booking data they hold. We receive the details we need to run the retreat: names, contact details, dietary and health information you choose to share, and travel details.
  • Website: standard server logs held by our hosting provider for security and performance. We do not use advertising cookies. TO CONFIRM whether any analytics tool is used; if so, name it here

Health information

Any health, dietary or mobility information you give us is used only to run the retreat safely and is shared only with the people who need it, such as the lodge kitchen or a guide. We ask for your explicit consent when you provide it.

Who we share it with

  • WeTravel (bookings and payments)
  • Our website host (Vercel) and the AI service that powers the chat TO CONFIRM provider name for the published version
  • The lodge, transfer company and activity providers, limited to what they need to look after you
  • Our travel partner, if you ask us to introduce you for flights

We do not sell your information. We do not share it with anyone else unless the law requires it.

How long we keep it

Enquiries: up to two years from your last contact with us. Booking records: seven years, for accounting. Chat conversations: TO CONFIRM retention period, recommended 90 days unless you give contact details, in which case they are kept with your enquiry.

Your rights

Under UK data protection law you can ask to see the information we hold about you, have it corrected or deleted, object to how we use it, or withdraw consent. Email hello@ohsotogether.com. You can also complain to the Information Commissioner's Office at ico.org.uk.

Changes

We may update this policy. The date at the top shows the current version.
